On It is an AI receptionist service for appointment and service businesses, run by Henry Tam. This page explains what personal information we handle and why. If you have any questions, email henry@onitcall.com.
Two roles we play
As a business contact. If you are a business owner who visits this site, books a call with us or emails us, we are the "controller" of that information.
As a service provider to our clients. When we run On It for a client business, we handle that client's customer enquiries on the client's behalf. In that case the client decides why the data is used and we act only on their instructions.
What we collect
- From business contacts: your name, business name, email address, phone number, and anything you tell us when you book a call or message us.
- From a client's customers: your phone number, the messages you send or receive, and details of your enquiry such as the job, location and preferred time, so the business can reply and book you in.
- From this website: this site has no forms or tracking cookies. Our hosting provider (Cloudflare) keeps standard technical logs such as IP address and browser type to keep the site secure and running.
How we use it
- To reply to your enquiry and arrange a demo or booking.
- To send and receive text messages and other replies for a client's business, and to book jobs.
- To run, secure and improve the service.
- To meet legal obligations.
We do not sell personal information.
Legal basis (UK and EU/UK GDPR)
For business contacts we rely on legitimate interests (running and promoting our business) and, where needed, taking steps at your request before a contract. For clients' customers, the client is responsible for the legal basis, which is normally legitimate interests in answering your enquiry.
Messages and opt-out
Automated messages sent on a client's behalf are replies to people who have contacted that business, and they include a clear way to stop. Reply STOP at any time and we will not message you again from that number. We do not send marketing texts to people who have not contacted the business.
Who we share it with
We use trusted providers to run the service, such as messaging and phone services, AI language services, scheduling and customer-management software, email and website hosting. They process data only to provide those services. We may also share information where the law requires it.
Where data is processed
Our providers may process data outside the UK, the EU and Australia, including in the United States. Where this happens we use providers that apply recognised safeguards for international transfers.
How long we keep it
We keep business contact details while we are in touch and for a reasonable period afterwards. Customer enquiry data is kept for as long as the client needs it to deal with the enquiry and for record-keeping, then deleted or returned to the client. Clients can ask us to delete their data at any time.
Your rights
You can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, or receive a copy of it. If you are a client's customer, we may pass your request to the business, or deal with it for them. Email henry@onitcall.com and we will reply within a month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (UK) at ico.org.uk or the Office of the Australian Information Commissioner at oaic.gov.au.
Security
We limit access to personal information, use reputable providers and keep our accounts protected. No system is completely secure, so if you think your information has been put at risk, please tell us straight away.
Changes
We may update this policy from time to time. The date at the top shows when it last changed.
